Bookings, Cancellations and Weather Policy
Booking Field Trips
E.A.T. South requires all field trips to be booked at least two weeks prior to the field trip. All payments can be made through our website on the Donate page through PayPal. Invoices may be sent directly to the contact person on the application if that is preferred. We do accept payment by check and E.A.T. South must receive the check two weeks before the date of the field trip. If a payment is not made two weeks before the date of a fieldtrip, then the date of the fieldtrip may be replaced with another booking.
Canceling Field Trips
E.A.T. South requires all field trips be canceled two weeks prior to the date of the field trip. If a school cancels a fieldtrip without a legitimate cause within two weeks of the date of the fieldtrip, $50 administrative fee will be retained by E.A.T. South and the remainder of the costs will be refunded to the school.

Inclement Weather Policy
EAT South’s field trip is still active on days where there is just rain. All activities will still be held on time at the Downtown or Hampstead Farm. During heavy rain the school will temporarily relocate to the school buses until the rain lightens or stops. EAT South or the school can choose to cancel the field trip due to prolonged waiting. If a cancellation occurs due to heavy rain beyond forty-five minutes of the fieldtrip, the field trip is non-refundable unless it is canceled by EAT South.
Lightning and Thunder
Field trips can be canceled due to lightening or thunder under the following guidelines:
A school is entitled to a full refund for the cost of the field trip if lightning and thunder occur within an hour of the scheduled time of the field trip. A school is also entitled to a full refund if lightning or thunder occur within forty-
five minutes of the scheduled time of the fieldtrip.
If there is no lightning or thunder within an hour of the scheduled time of the field trip, the field trip will commence. If a school chooses to cancel a field trip and there has been no lightening or thunder an hour before the scheduled time of the field trip, $50 will be retained by EAT South and the remainder of the costs will be refunded to the school. If lightning or thunder occurs after one hour of the scheduled time of the field trip, the field trip is non-refundable. If a school is at EAT South's farm and has opted for lunch, the costs for lunch will not be refunded. EAT South will supply the school with lunch to be taken with them.
Hurricanes, Tornadoes and Other Severe Weather
If there are any reports (watches or warnings) of hurricanes, tornadoes or any other severe weather before the arrival of a school, the fieldtrip is
cancelled and the school is entitled to a full refund. If a severe weather report is issued within one hour of the scheduled time of a field trip, the school is entitled to a refund for the cost of the fieldtrip, but not for lunch, which will be given to the school to be taken with them upon departure. If a severe weather report is issued one hour after the scheduled time of a fieldtrip, the fieldtrip is non-refundable.
Relocation during Severe Weather
When a severe weather report is issued (watches and warnings) the school must leave EAT South’s farms immediately. EAT South does not have any facilities that can protect schools from severe weather.
